Timekeeping Software/Website

How do you track your group's hours?

I am a Master Gardener in Johnson County, Iowa and am responsible for keeping track of our county’s hours. Each quarter I am deluged with dozens of timekeeping sheets submitted by our wonderful members. These sheets contain their hours and I manually record them into a database I created. At the end of the year I run a couple reports that aggregate the hours.

I have created a website that allows members to submit their hours, but this process is still cumbersome and few MGs use the site.

Has anyone found ways to ease the time tracking burden?

My background is in software development and I have considered creating a website that *all* MGs could use for timekeeping, but I don't want to tackle this project if someone has already come up with a better solution.

I am a Master Gardener (in training) in DeKalb County, Georgia. I also have a half-time "Program Assistant" position with the CES, and part of my duties is to do the same as you, Fred... compile time sheets. And like you, I have a computer background, so set up an Access database into which I laboriously just keyed in about 200 time sheets. There's got to be a better way. I have done some investigation into Volunteer Management software, but most of what I've seen is too expensive and/or not really what we need. Hope something turns up here.

Fred, The Penn State Master Gardeners can go online and record their hours. If you're not online you can still send them by mail or drop them off to our master gardener coordinator and she'll put them online. It's password protected. Billie

consider this:

Time companion or project companion.

I use Time Companion daily to track my project hours on my palm handheld, and sync to my access PC database.
There are many similar time keeping programs many of which are free or shareware.

Why not create a spreadsheet on Google Documents. docs.google.com.

Then people can input their own hours.

We have a nice little spreadsheet, however we also have some older members that are quite computer-challenged. Even email seems to be a problem for some of them. The other concern is for groups "up north". Not everyone has high-speed, or even web access. We plod slowly...
