IMPORTANT DATES:
Seeds may be sent to me at any time, but they must be mailed NO LATER than Jan. 10, 2013.
I will mail packets back to you no later than Jan. 24, 2013.

INSTRUCTIONS:

1. If you are having difficulty using the Composite Want List posted on Google Drive, I can send you a plain text copy as an e-mail attachment.
If you want the plain text copy, just e-mail me at pat46rob@gmail.com
If you have any questions, instructions, or concerns, send me an e-mail at any time!
Good communication will make this swap more successful!

2. I am sending my mailing address to each of you today by e-mail or through the GardenWeb message system if you have not sent me your e-mail address. (I e-mailed everyone on Dec. 10. If you did not receive my address, send me an e-mail and request that I resend the message.)
You may start sending in your seeds at any time!

3. I need to know how you want your return package sent. Either send me an e-mail or put a note in your package. Be sure to enclose enough postage to cover return mailing.

.....A. Least expensive: include a return label and enough stamps for me to mail the same bubble envelope back to you at the first class envelope rate. No Delivery Confirmation available! (Not recommended but will do if you request it.)

.....B. Better: If you want Delivery Confirmation, you may include a return label and enough stamps for me to send your bubble envelope back at the first class parcel rate with Delivery Confirmation.
Parcel rates are a bit higher than envelope rates and depend on distance and weight.
DC for a first class parcel is an additional 85 cents. There is no option to print a shipping label from the USPS website and save.
My zip code is 76844, so you can go to the USPS website and estimate the shipping charge.
Again, if you send too many stamps, I will return extras.

.....C. Or you can send me a check, etc, for $5.10 and I will print a shipping label from the USPS website and return your seeds in a large priority padded envelope with Delivery Confirmation included at no extra cost.

4. Mark each packet of seeds that you send in with
.....name of the plant, including the scientific name if you can,
.....year the seed was harvested or packaged for,
.....recipient's number,
.....your name or number.
.....If the seeds fulfill a generic wish, such as 'butterfly attractor' or your 'favorite perennial' or 'red annual', please mark this on the packet so I will know for sure it was requested.

5. If you have multiple packets for the same person, please tape or bag them together to help me sort. I will check each packet to make sure it matches the recipient's requests, but your presorting will save me hours!

*******REMINDER: I am checking each packet of seeds you send against the recipient's "seeds wanted" list. UNREQUESTED SEEDS may be given to someone else who did actually request them or MAY BE RETURNED TO THE SENDER!

6. Send only seeds another participant has requested and only viable seeds not more than two or three years old.
Be as generous as you can in the number of seeds per packet, at least 15-20 seeds, however, many of us would prefer fewer seeds of something really special to none.
Bottom line: Send seeds you would be pleased to receive!
Please do not send anything other than seeds!!! No cuttings, bulbs, etc.

7. You may send in as many packets as you want, and you will receive the same number in return UNLESS you tell me not to send that many!
How many of your wishes are filled depends on what is sent in for you.
If fewer are sent for you than you sent in for others, you may choose to have duplicates, when possible, or substitutions. If you have not indicated your preferences, send me an e-mail! pat46rob@gmail.com

Michelle's (micyrey's) package arrived today! It's a great big envelope stuffed with lots and lots of seed packets, neatly sorted by recipient, along with a big bag of extra packets for sharing, instructions for return shipping, her preferences about duplicates, etc., how many packets she would like back, and return label and postage. Thank you, Michelle, for remembering everything!

Crystalline_ca notified me a couple of days ago that hers is on the way to me as well.

Remember to check the first post in this thread for updates. I will note whenever someone notifies me that they have mailed their seeds and again when I actually receive the package.

Another great big package of seeds this morning, this time from Karen (primrose1x3). I've not had time to look at all the seeds inside, but I can see they are nicely labeled and sorted by recipient. Everyone is doing an amazing job, and I do appreciate your help.

This afternoon I'll be dropping seeds into the numbered bags on the bookshelves and logging them on my computer. It feels like a cross between Halloween (dropping treats into paper bags) and Christmas (crossing items off wish lists)!

*******REMINDER TO ALL: I am checking each packet of seeds sent in against the recipient's "seeds wanted" list.
UNREQUESTED SEEDS may be given to someone else who did actually request them or MAY BE RETURNED TO THE SENDER!

The reminder above does not apply to the extras that several people have included.
Extras are unrequested seeds that are NOT marked for any one person but are to be used as substitutes or gifts.
Extras do not count as wishes filled.
For example, if a person sends in 75 packets for wishes and 25 extras, he/she should expect 75 packets in return.
Sending extras is perfectly okay and very generous, though certainly not required.

If a person has posted that he is willing to receive duplicates, that means duplicate packets from more than one sender. No one should send more than one packet of the exact same seed to the same person.

Post questions on this thread or e-mail me if there is anything that needs to be clarified.

This swap is going very well so far, and lots of wishes are being filled. It's still a little over two weeks before the January 10 mailing deadline, but it will be here before we know it!

Patricia - Wow, that's some seed count so far; it will be interesting to see what the total seed packet count will be!

Glad my package made good time to Texas over the holiday. I do have a hint to share, from my postal carrier, with folks that have not yet mailed there package/envy. By adding the four (4) digit extension to the zip code it can speed up delivery of a package or large envelope by a day or two. I've been trying to do this as often as I think of it and I do have to say, packages make it across country pretty fast.

Will do, Sandy. All seeds sent in for the two who have dropped out have been redistributed to those still participating in the swap.

Lots of wishes are being filled, and lists are turning green. (That's a good thing because when I highlight a wish with green, it has been filled! Duplicates are red, similar varieties are blue, etc. I love color coding.)

I need more seeds! I'm actually caught up and have all 1500 or so packets logged.

Patrob, I dropped my seeds at the post office yesterday so you will have seeds soon...I always like to have delivery conf#s for the ride to and from when mailing seeds. I asked my postal guy Ray and he said he couldn't give me a conf# number stamped and paid for for you to use for the ride home....is he mistaken???

I'm pretty sure that when I do the commercial seed swap one of the members sends it to me paid for and ready to go. I'll go in and give him a little razzing if I find out it's allowed!

Just for the record...lol I enjoy cleaning.

Alana, as far as I know, it is fine for you or anyone else to change your lists on your member page. I am using only my copy of the composite list to check and sort seeds, and several have asked me recently to e-mail them a plain text copy of the composite list. If anyone else wants a plain text copy to finish up your seed packets, just e-mail me a request.

I e-mailed reminders to everyone who has not sent their package or posted recently that they are working on it. No one is late, but time is flying by. This is still a very busy time of year, and I did not want anyone to be taken by surprise when Jan. 10 rolls around!

I'm mailing mine today. It took a bit longer than I thought it would. Turns out that I was using one of the original composite lists and a few people were either missing or had made changes... so I had to update and make adjustments to what I packaged. Anyway, finished now! I'm just trying to decide on which method of postage would be best.

Susan's (susanc's) big fat envelope arrived yesterday. I've not had time to open it, but I will later today.

I'm still logging seeds from the two huge envelopes that arrived on Friday! I'd like to sit and play with seeds all day, but other chores have intervened the last day or so -- grocery shopping for us and Mother, taking her dog to the vet, feeding hay to cattle, even doing a little cooking and laundry. This afternoon I am back in the seeds again!

I'll take a photo today when I carry the next batch I have been sorting upstairs. I sit on the sofa with my laptop (and at least one cat) while I check each packet against wish lists and try to reallocate the ones that don't fit. Then I stash all the seeds that are ready to drop into your bags up to the seed room where each of you has a numbered bag sitting neatly on a shelf. So far there's no chaos, and if I stick to my plan, there won't be. Of course, I am new at hosting and this is a huge swap, so we'll see how it goes toward the end. lol As I said earlier, no panic yet.

Thanks, Katie. I'm expecting several packages today. Thank goodness I have already logged your seeds from the list you e-mailed me a few days ago!

I still have one big package to go before I am caught up again, so I'm up early and into the seeds. I'm guessing I will not be caught up again until the very end and I've mailed everyone's package back.

There are quite a few people we've still not heard a word from since the beginning. I hope all of them are packing seeds and will let us know when their packages are in the mail.

Janine, I live in a very rural area in the middle of Texas and packages from the East often take a day longer than the estimate. Ft. Worth is north of us about 120 miles, but after being sorted there, it will be sent west about 120 miles to Abilene, and then come back here. lol No wonder postage costs keep going up. I'll be looking for it Monday.

I'm concerned because it hasn't been scanned as having arrived anywhere in Texas yet and, although delivery confirmation allows one to see when a package arrived at it's destination, it isn't trackable if it gets 'misplaced'. Not a word from two of them. I will still take seeds that arrive by this week-end, but after that, I will have begun sealing envelopes for the trip home.

lol I could use another month to keep logging seeds, shuffling them around to fill wishes, and wondering what to do with all the coneflowers, gaillardia, fennel, parsley, and dill, but I have eight days left to make it happen! I've been logging the contents of one HUGE box for over two days. There are six envelopes and boxes still waiting, and at least one more will arrive this week. I think I am going to be totally cured of my seed addiction and may never want to see a seed again. :)

Hey Pat. I just remembered that there is a postal increase effective Jan 27th. The first class retail parcel base rate is going up $.12, but each additional oz is still $.17. Delivery confirmation for that class will be $.90. I didn't check the priority mail rates, but I'm sure they will go up as well. The forever stamps will be worth $.46. Just wanted to let you know if you didn't already. I didn't want you to get a bunch of returned packages with postage due. Hope you aren't too overwhelmed with all those seeds!

I will be mailing packages back to everyone on or before Jan. 24. I chose that date as my deadline partly to avoid the postage increase.

Unless someone tells me otherwise, I will redistribute seeds sent for those who do not send in their seeds. If anyone prefers to have the seeds returned to them, please let me know by the end of the day Saturday, Jan. 19. On Sunday I will see where the seeds can be used to fill others' wishes and start sealing up envelopes.

Lisa (lysa39), as I told you almost a week ago when we e-mailed several times, I will accept whatever seeds you are able to send IF they arrive by this Saturday. However, since you have waited this much longer, it is likely too late for you to send any and have them arrive by then.

Since you did not use Delivery Confirmation, there is no way of telling where your seeds might have gone. Perhaps they will surface somewhere and be returned to you. If they show up here, I will send them your way.

Yippee skippee! Seeds are coming soon! Patricia you are an organizational paragon.

Lisa, it does not happen often, but seeds do get lost now and then and if you don't have delivery confirmation there is not a lot you can do except contact your local Post Office and see if they can help. Maybe you will be lucky and they will turn up in time for you to use them in another swap. Delivery Confirmation is not fail safe, but it does help the PO trace the movements of lost packages so if you are mailing seeds that you can't afford to lose you should consider using it.

Pat...I sent in probably extra postage with my package since for some reason...the Post Office person said it was about the same cost to send it "Priority" as 1rst Class(I sent another package this past week to another swap & it was almost half the cost for about the same amount of seeds!!!)
Anyway...if there is extra postage...please use it to go ahead & send Lisa(lysa39) the seeds I sent for her!
It is hard & frustrating to have this happen to someone especially a "newbie" to these kinds of swaps!
If I don't have any extra postage...please send the seeds back to me & I'll send them to her.

This was a very busy day. I started at 6:00 a.m. and finished logging the last few packages of seeds this afternoon. Then I dropped more seeds into everyone's bags upstairs. It'll take a good while tomorrow to finish up that part, and then the real FUN begins: choosing substitutes for those who still need more seeds in their packages. That is going to take a while!

IMPORTANT REMINDER: If anyone wants any seeds returned to you for someone who signed up but did not send in seeds, you must let me know before the end of the day Saturday, Jan. 19. After that time, the seeds will be considered substitutes and will be distributed to those who are participating. I'm going to wrap this swap up and mail on or before the 24th as planned.

Thanks, everyone, for the support. I knew this would be a huge swap, and it is. Today I am going to deal with an enormous pile of packets, some of which are duplicates (triplicates, quadruplicates, etc.) and many others that just did not match wish lists.

This is the most tedious and least fun part of the whole deal. I'd rather be giving everyone just exactly what they asked for as I have been doing up to now.

Pat, Please don't fret about what to send to me either. As I mentioned in an earlier email, I sow for and share seeds with my sister in Kansas so I'm good with flower seeds for zone 3-7, they don't need to be on my wishlist, and duplicates & substitutes are okay.

I just realized I had never updated the -Veggie/Fruit section of my want list
So if you have extra of - cucumber, squash, radish, lettuce, carrot, beets, and such please feel free to drop them in my envy.

Also, you don't need to send back the same number I sent in. I know I'll be good with what ever you send.

Oh, just in case anyone's interested, it's minus 10 degree's and minus 50 something with the windchill this morning. Thought that'd warm you up!! To keep warm, I'll be in my sow room, sowing a few more Hot pepper seeds and then I'll do a few more jugs to go outside - I feel sorry for them little seeds that will be wintersown today!

Time is my greatest problem right now. I'm not stressed (no time for that!), but I am concerned that I have just a few days left and much I want to do. We have 4785 packets of seeds from 34 people. I'll be adding some from my stash before mailing, so we could end up with as many as 5000. That is a LOT of seeds.

As each of your packages arrived, I went through the contents one packet at a time and highlighted wishes on the copy of the composite list on my laptop. Seeds that did not fit or were excessive duplicates went into a ziplock bag labeled "extras." All of the packets that matched wishes and the bag of extras then went into a Walmart bag labeled with the sender's name. I took those bags to the feline-free room upstairs and made a pile. It became a very big pile.

For most of two days I have been opening each Walmart bag and dropping seed packets into recipients' numbered bags lined up in the bookshelf. Later today I'll spread the extras out on the top of my desk and sort them into piles by type. Then I will start picking seeds for each person who still needs more.

I do not want to send your own seeds back to you, and if your name or number is on the packet, I will do my best not to do so. However, if you did not put your name or number on each packet you sent, odds are you will get some of them back. If I had a lot more time, I would label them for you, but I don't.

That's where we stand right now. I need to get upstairs and play with seeds! lol

I can't even imagine trying to live, much less garden, where temps are below zero. This week has been quite nice in the middle of Texas with highs in the 60's. Today will be a little cooler, but a high of 75 is predicted for later this week. I don't do winter sowing, but next week I plan to start tomatoes and perhaps some peppers and eggplants inside and plant outside toward the end of March.

Okay, now I really am going upstairs!

Patricia, I think it's the Japanese that have an art form that involves lichens making shapes on rocks in the form of flowers - the Chrysanthemum rock comes to mind - don't remember if other flowers are also represented...not sure this is worth moving to arctic /subarctic regions or not, but what a nice escape from Maryland humidity those places must be in the summer time...although I understand that their mosquitoes are to our mosquitoes as a moose is to a mouse.

The last batch is off to the post office with an hour and a half to spare! DH has done a great job mailing and bringing back DC numbers. Without his help, I could not have finished on time.

I could have worked on the last few packages forever, but very few wishes came in for some who had more challenging and very specific wish lists. I had just a few for those people myself. I selected some substitutes that they might be able to use or at least trade for something they do want.

Several said not to send substitutes but just the seeds that actually came in for them. I pretty much did that, but I did stick in a few substitutes. Again, maybe they can be traded if the recipient doesn't want them.

Start looking for packages on Monday, and I will post DC numbers soon.

I'm glad packages are beginning to arrive! I sent five packages to the post office Thursday afternoon, and some of them made the trip in less than 48 hours.

By the way jlee sent me her own prepaid first class shipping label. My post office accepted it without any questions, even though it showed her own zip code as the origination point. I tracked her package, and there were no glitches. Those who have access to a postage service and can print first class labels with DC included might consider that option in your next swap. It is quick for the host and might save you a little money.

Wonderful seeds came - I can't help but think of the first flower garden I ever saw - it was my New England grandmother's - a white picket enclosure filled from picket to picket solid with flowers in July. Flower gardens were common in those days, but perhaps not the incredible variety and abundance that Patricia and this group sent me today - may our efforts have the ripple effect of bringing back flower gardens sprinkled generously throughout neighborhoods again.

It was a busy hectic day at work today, a typical Monday ... so it was a lovely thing when I checked my mailbox and found a beautiful stuffed envelope full of wonderful seeds !!! Thank you Pat for all your hard work and thank you to everyone who shared seeds with me ! I love them all and can hardly wait till spring so I can get busy planting ! ( will actually wintersow some ) This is always such an awesome swap !
